For HR Managers & IT Managers
3.1 How HR & IT Managers Can Sign Up for Employee Onboarding
To begin onboarding employees, HR and IT Managers need to sign up on GenieSign:
- Visit geniesign.io.
- Click Sign Up and select Organization Account.
- Complete the required fields and verify your email.
- Log in to access your admin dashboard.
3.2 Setting Up Your Organization in GenieSign
After signing in:
- Go to the Settings tab in the admin dashboard.
- Add your organization’s name, logo, and contact details.
- Save your changes to complete your profile setup.
3.3 Adding Departments and Team Members
To build your internal structure:
- Navigate to Organization > Departments.
- Click Add Department and input the department name.
- Under Team Members, invite users by email.
- Assign each team member to their respective department.
3.4 Managing User Roles & Permissions
Roles define what each user can access:
- Go to Team Settings.
- Choose from predefined roles: Admin, Manager, HR Officer, Viewer.
- Customize permissions for document access and onboarding tasks.
- Save your settings to enforce access control.
3.5 Creating an Onboarding Workflow
To initiate onboarding for new hires:
- Click on Start New Onboarding.
- Select a department and enter the new hire’s name and WhatsApp number.
- Choose documents to be sent (e.g., employment contract, policies).
- Review and launch the onboarding workflow.

3.6 How New Hires Receive Onboarding Invitations
New hires receive an invitation on WhatsApp. The message includes:
- A welcome note to the new hired
- Instructions for completing steps
3.7 Uploading Government ID for Digital Signature Creation
For identity verification:
- Click the onboarding link sent via WhatsApp.
- Upload a clear image of your government-issued ID.
- Submit for validation (this process may take a few minutes).
3.8 Setting Up a Digital Signature via WhatsApp
Once identity is verified:
- GenieSign guides you via WhatsApp to create your signature.
- Choose a signature style or draw your signature.
- Confirm and proceed.
3.9 Confirming Your Digital Signature & Finalizing Setup
To complete onboarding:
- Review your signature preview.
- Accept terms and conditions.
- Submit to finalize your signature setup.
3.10 Signing Employment Contracts & Other HR Documents
Once your signature is set up:
- You will receive documents to sign via WhatsApp.
- Click the link and review the document.
- Press ‘Sign’ and submit.
- You’ll receive a confirmation once your documents are signed successfully.
